Guests show up at the wrong entrance. They circle the block looking for parking that doesn't exist. They miss the shuttle because they thought it left at 4:00, not 3:30. They text you at 2 PM asking "where do I park again?" while you're getting your hair done.


None of this happens because your guests are careless. It happens because transportation details are easy to skim past, easy to forget, and easy to misunderstand, especially when they're buried on a wedding website nobody's checked since they RSVPed.


The fix isn't complicated: give guests the information they need, in plain language, delivered in a way they'll actually see. Let's walk through exactly how to do that.


What Guests Actually Need to Know

Guests don't need to understand your transportation logistics. They don't need to know that you negotiated a shuttle contract or that the venue's parking lot only holds 40 cars or that rideshare pickup is weirdly complicated because of the one-way street situation.


They need to know:

  • Where to go

  • How to get there

  • Where to park (or not park)

  • What to do if they're not driving

These are the essentials. If your guests have this information, they can get themselves to your wedding without texting you.


The Address (Yes, Again)

Even if it's on the invitation. Even if it's on the website. Include the full address in any transportation communication.


Example:

Venue: Rosewood Estate Address: 1234 Oak Lane, Austin, TX 78701


If GPS is unreliable (rural areas, new construction, private roads), say so:

GPS may take you to the wrong entrance. Look for the stone pillars marked "Rosewood" and turn left.


If there are multiple buildings or entrances:

Enter through the main gate and follow signs to "Guest Parking." The ceremony is in the Garden Pavilion behind the main house.


Parking Instructions

This is where most confusion happens. Be specific.


If parking is straightforward:

Free parking is available in the lot behind the venue. Enter through the main gate and follow the signs.


If parking is limited:

Parking is limited, so please arrive by 3:30 to secure a spot. Overflow parking is available on Maple Street (3-minute walk to venue).


If there's no on-site parking:

There is no parking at the venue. Please use the shuttle from the Marriott or rideshare (drop-off on Oak Street).


If parking costs money:

Valet parking is available for $20 (cash or card). Self-parking in the adjacent garage is $15.


If street parking is the only option:

Street parking is available on Elm and Oak Streets. Please don't block driveways or park in resident spots; we want to stay on good terms with the neighbors!


Don't assume guests will figure it out. If parking is anything other than "big free lot, plenty of space," spell it out.


Shuttle Information (If You're Providing One)

Shuttles sound simple until guests miss them because they didn't know the timing.


Include:

  • Where the shuttle picks up (specific location, not just "the hotel")

  • What time it leaves (and whether it waits or leaves promptly)

  • Whether there are return shuttles and when


Example:

Shuttle to Venue: Pickup: Marriott Downtown, main lobby entrance Departure: 3:15 PM sharp (please arrive by 3:00)

Return Shuttles: 10:00 PM and 11:30 PM from the venue back to the Marriott


If the shuttle is the only transportation option:

There is no guest parking at the venue, so please take the shuttle from the Marriott. If you're driving separately, rideshare drop-off is on Oak Street.


If timing is tight:

The shuttle departs at 3:15 PM and cannot wait for late arrivals. If you miss it, Uber/Lyft is available (drop-off on Oak Street, 5-minute walk to venue).


Rideshare Guidance

If guests are using Uber, Lyft, or taxis, tell them exactly where to go.


Drop-off location:

Rideshare drop-off is at the main entrance on Oak Street. Tell your driver "Rosewood Estate main gate."


Pickup after the event:

Rideshare pickup is at the same location. Cell service can be spotty, so we recommend requesting your ride 10 minutes before you're ready to leave.


If the venue is tricky to find:

The venue doesn't show up correctly in some GPS apps. Use the address 1234 Oak Lane, Austin, TX, and look for the stone pillars at the entrance.


If surge pricing is likely:

Heads up: rideshare prices tend to surge around 10–11 PM in this area. The venue is about 15 minutes from downtown Austin.


Optional Details (Include Only If Relevant)

Depending on your venue and guest list, you might need to address a few extras.


Urban venue restrictions:

Street parking is metered until 6 PM. After that, it's free. The nearest garage is on 5th Street ($10 flat rate after 5 PM).


Rural venue with limited cell service:

Cell service is weak at the venue. If you're using rideshare, request your ride before you lose signal, or catch the shuttle back to the hotel.


Weather-related notes:

The parking lot is gravel; if it rains, watch your step (and maybe skip the stilettos).


Accessibility needs:

Guests coming from the airport:

From the Austin airport, the venue is about 25 minutes by rideshare. Rental cars are also available at the terminal.


Only add what's relevant. More detail isn't always better—it's just more to read.


What Not to Include

Keep the guest-facing version clean. Some things belong in your internal planning documents, not your guest communication.


Skip these:

  • Shuttle company name and contract details. Guests don't need to know who you hired.

  • Backup transportation plans. If Plan B becomes necessary, you'll tell them. Don't confuse things with "if this, then that" instructions.

  • Internal timing buffers. Your planner might have the shuttle arriving 15 minutes early. Guests don't need that detail.

  • Long explanations of why parking is complicated. They don't need the backstory. They need the instructions.

  • Overly apologetic language. "We're so sorry parking is limited" makes it sound like a bigger problem than it is. Just state the facts.

GPS Note: Some apps take you to the wrong entrance. Look for the "Willow Creek" sign and turn at the white barn.


Urban Venue with Tricky Parking

Getting There

Venue: The Foundry, 456 Commerce Street, Brooklyn, NY 11201

Parking: No on-site parking. Street parking is limited and metered until 7 PM. We recommend rideshare or public transit.

Rideshare: Drop-off on Commerce Street. Pickup can be tricky after the event—walk to the corner of Commerce and Main for easier access.

Subway: The venue is a 5-minute walk from the York Street station (F train).

Valet: Available for $35. Pull up to the main entrance on Commerce Street.

When and How to Send Transportation Info to Guests

You've got the information written. Now make sure guests actually see it.


Where to put it:

  • Wedding website: Essential. Create a dedicated "Getting There" or "Travel" page with all the details.

  • Detail card with invitation: Good for high-level info (address, parking overview, shuttle mention). Keep it short.

  • Email: Useful for sending a week before the wedding as a reminder.

  • Text: The most reliable way to make sure guests actually see it, especially for last-minute reminders or changes.


When to send it:
